Fax Broadcasting Basic Features

DataMart provides a full set of basic features for its fax broadcasting service. These basic features are usually available at no additional cost.

Delete Request Processing

DataMart will automatically handle requests for fax numbers to be deleted from your lists. DataMart provides you with a toll-free 800 number and a list number to include on your fax piece. When any of the recipients of your fax campaign call to have their fax number deleted, the number is collected, along with a list number we will assign to you.

This list of delete requests is maintained in a master file and is used to cleanse any new list provided to us.

Delete request processing is both a courtesy to your recipients and is required by federal law and some state laws.

Mail Merge/Personalization

Your fax piece can be personalized, with information from the list, to present a professional appearance and to ensure that the fax is delivered correctly. The personalization can be as simple as a "Please Deliver To: name, company" message at the top or as formal as a business letter format with name, company, title, address, etc.

Simple personalization is provided at no charge. More complex mail merge applications will require additional fees.

Mixed Medium Broadcasts

If you have a list that has both email addresses and fax numbers, DataMart can fax to those in the list that have a fax number and email to those that have an email address. You determine which medium will be used for those having both a fax number and an email address.

Compliant Fax Headers

DataMart will create standard fax headers that contain your business name and fax number to ensure your compliance with FCC requirements. Each fax sent for you will contain your information in the fax headers.

Multiple Retries

Your faxes will be setup to retry upon failure as many times as you request. The default is three attempts. Retries will not be attempted whenever a fax number fails because a human voice has been detected on the line.

Reporting

Standard reporting consists of a summary report, a failed fax report, and a fax completion report. The later two reports can be large and you have the choice of receiving them or not. Monthly or on request, you receive a report of all lists on file with DataMart. For those clients who are billed monthly, a monthly activity report is generated which summary information on all of the faxes conducted during the month.

List Cleansing

When lists are provided to DataMart, they go through a cleansing process that updates all the area codes that have been changed, checks the list against the fax number delete requests - eliminating any matches, and, optionally, deletes any duplicate fax numbers.

Additionally, DataMart maintains a database of failed fax numbers and will, upon request, take out of your list any fax numbers that fail consistently.

List Management

You may maintain as many lists at DataMart as suits your needs. They are given a name and description so that you can refer to them as needed. DataMart sends you a monthly report of any lists on file.

At your request, DataMart can merge lists together, de-dup lists based on the criteria, extract from your list based on any data present in the list (such as area code, state, etc.) and can setup broadcasts that "step thru" your list (for example, faxing to your list 1,000 companies at a time from the beginning of the list to the end)
